Introduction
I am committed to protecting your privacy and handling your personal information in accordance with UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This Privacy Notice explains how I collect, use, store, and protect your personal information when you engage with my psychotherapy services.
What Information I Collect
I may collect and process the following personal information:
- Name, address, telephone number and email address
- Date of birth
- Emergency contact details
- GP details (where appropriate)
- Information relating to your physical and mental health
- Therapy notes and session records
- Correspondence between us
- Payment and invoicing information
Why I Collect Your Information
I collect your personal information in order to:
- Provide psychotherapy services safely and effectively
- Maintain clinical records
- Contact you regarding appointments
- Manage payments and administration
- Meet professional, ethical and legal obligations
- Protect your vital interests or those of others where necessary
Legal Basis for Processing
Under UK GDPR, I process your information under the following lawful bases:
- Performance of a contract
- Legitimate interests
- Compliance with legal obligations
- Provision of health-related services
- Explicit consent where required
Confidentiality
Everything discussed within therapy is treated as confidential. However, confidentiality may be broken where:
- There is a serious risk of harm to yourself or another person
- There are safeguarding concerns involving a child or vulnerable adult
- Disclosure is required by law or court order
- Professional consultation or supervision is required (all identifying details are removed wherever possible)
Where possible, I will discuss any disclosure with you beforehand.
Clinical Supervision
As part of ethical practice, I undertake regular clinical supervision. Information discussed in supervision is anonymised wherever possible and supervisors are also bound by confidentiality obligations.
How Your Information Is Stored
Your records are stored securely using password-protected and encrypted systems where appropriate.
Paper records are stored in locked facilities with restricted access.
I take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, misuse, alteration or disclosure.
How Long Records Are Kept
Client records are retained for:
- Adults: 7 years after therapy ends
- Children and young people: until age 25, or 26 if therapy ended at age 17
Records may be retained longer where required by law, insurance requirements, or legitimate professional reasons.
Following the retention period, records are securely destroyed.
Sharing Information
Your information will not be shared with third parties unless:
- You provide consent
- There is a safeguarding concern
- There is a legal obligation to disclose information
- It is necessary to protect someone from serious harm
Your Rights
Under UK GDPR you have the right to:
- Access your personal information
- Request correction of inaccurate information
- Request erasure in certain circumstances
- Restrict processing
- Object to processing
- Request data portability where applicable
- Withdraw consent where consent is the legal basis for processing

Data Protection Complaints
If you have concerns about how I have handled your personal information, please contact me in the first instance so that I can investigate and respond to your concerns.
Complaints can be made in writing by email or post. I will acknowledge receipt of your complaint and aim to respond without undue delay.
If you remain dissatisfied with my response, you have the right to complain to the Information Commissioner's Office (ICO), the UK's independent authority for data protection matters.
